Appointment Policy

Our goal is to provide the highest quality of care to all of our clients in a timely manner.  Because our services are in high demand, our providers spend significant time preparing for each appointment, and other clients are patiently waiting for appointment openings, late arrivals, late cancellations, and no-shows hamper our goal of providing this care to all of our clients in a timely manner.

 

Please be aware of our policy regarding missed appointments.

 

Appointment Cancellation

 

When you book your appointment, you are holding a space on our calendar that is no longer available to our other clients. In order to be respectful of your fellow clients, please contact us as soon as you know that you will not be able to make your appointment.

 

If cancellation is necessary, we require that you contact us at least seven (7) days in advance for 60 Minute New Client Intake and 90 Minute New Client Consult with Dr. Cheng Her appointment types.

 

If cancellation is necessary for all other appointment types, we require that you contact us seventy-two (72) hours in advance.  Your advanced notice will allow another client access to that appointment time.

 

How to Cancel Your Appointment

 

If you need to cancel your appointment, you may do so by logging in to your client portal and select (click) the "Cancel" button next to your appointment notification.  You may also call us at 608-790-9292 between the hours of 8 AM-4 PM Monday through Thursday.  Please note that we are closed on Friday.

 

If necessary, please leave a detailed voicemail message. We will return your call as soon as possible.

 

Late Cancellations/No-Shows

 

For 60 Minute New Client Intake and 90 Minute New Client Consult with Dr. Cheng Her appointment types, a cancellation is considered late when the appointment is canceled less than seven (7) days before the appointed time.

 

For all other appointment types, a cancellation is considered late when the appointment is canceled less than seventy-two (72) hours before the appointed time.

 

A no-show is when a client misses an appointment without canceling.

For EITHER a 60 New Client Intake OR a 90 Minute New Client Consult with Dr. Cheng Her, EITHER a late cancellation OR a no show will result in a full charge.

In the case of a late cancellation for all other appointment types, we will charge you our current hourly rate as applied to a 30 minute appointment.

 

In the case of a no-show for all other appointment types, we will charge you a fee equal to our hourly rate for that particular scheduled appointment type (i.e., 30 minute consult, 45 minute consult, or 60-minute consult).

Of course, we understand that urgent or emergent circumstances may arise that impede your ability to keep your appointment.  We will do our very best to assess these on a case by case basis but our offer to do so does not imply or guarantee a waiver of this policy.

 

Provider Cancellations

 

Should Dr. Cheng Her need to cancel less than twenty four (24) hours before your appointed time, we will offer you the next earliest available similar appointment type along with a $100 credit redeemable only toward the rescheduled appointment with Dr. Cheng Her.  This $100 credit must be redeemed within a period of three (3) months following the date of the original provider cancellation or it is forfeited.

 

Force Majeure

 

In the event of cancellation without minimum notice due to circumstances beyond the control of the client or the control of our providers, this policy is null and void. Some examples of these causes are (1) acts of God or of the public enemy, (2) acts of the government in either its sovereign or contractual capacity, (3) fires, (4) floods, (5) epidemics/pandemics, (6) quarantine restrictions, (7) strikes, (8) freight embargoes, and (9) unusually severe weather.
